ISO Certification- Documentation, Procedure’
by Dr. Aniruddha Thuse- Lead Auditor ISO 9001-2015

Quality is at core place of every business. Doing business is nothing but to offer customers something, i.e product or service, which is highly qualitative. Every entrepreneur has to convince customer about quality and its fulfillment.  Quality means high grade, superiority, excellence and one which is better than other similar players in market. The term Quality is defined as, “To fulfill all the commitments which are promised by the manufacturer or service provider, about his product or service”.  This definition shows some key features of term quality such as, it is a commitment, promise and it is measurable. The most important feature of quality is that it can be accessed or measured as per the standards. The businessman determines and fixes quality of his product or service. But how to measure it? There are some standards for quality measurement. ISO is the most popular and oldest standard of assessing and measuring the quality.

The International Organization for Standardization i.e ISO is an international standard-setting body composed of representatives from various national standards organizations formed on 23 February 1947. There are several standards of ISO which are purely objective. These standards are-

  1. ISO 9001- Quality Management
  2. ISO/IEC 27000- Information Security Management
  3. ISO 14001- Environment Management
  4. ISO 31000- Risk Management
  5. ISO 50001- Energy Management
  6. ISO 26000- Social Responsibility
  7. ISO 28000- Security Management for Supply Chain
  8. ISO 37001- Anti Bribery Management
  9. ISO 45001- Occupational Health & Safety
  10. ISO 22000- Food Management

As we are talking about the concept of quality & its management in business, ISO 9001 is the right certification to take. The revised version i.e ISO 9001-2015 is the well structured framework of this certification. ISO 9001-2015 certification is very useful for all businesses such as manufacturing or service, large or small and old or new businesses.

Before going ahead, some questions have to be asked, that,

  1. how many organizations assure quality of their businesses and how can they prove the quality?
  2. Are they working as per the- pre-decided standards? Have they set the bunch of quality standards? It should be noted that, only regular demand from customers cannot be treated as an evidence of good quality, because high or low demand are purely depending upon market situations.

ISO 9001-2015 provides vision to the concept of quality in broad sense. The business gets such a certification only after strict quality surveillance audit. Under ISO 9001-2015, the audit process is fully standardized and the quality of business is tested in framework of the following, which is hereby called as Internal Quality Management Audit System. This audit system has to be followed by business under the supervision of owner and internal auditor. The external surveillance audit takes place thereafter.

  1. Context of business organization- Why your business is there? For which parties or customers?
  2. Leadership styles in business- What is role of top management? What is Quality Policy?
  3. Quality Objectives and Planning
  4. Business Infrastructure- People, Environment, Operational Resources
  5. Operational Planning and Control
  6. Internal Audit- Management Control Systems
  7. Initiative for Continuous Improvement

While setting quality standards in its operations, the following process of PDCA has to be followed by the businesses.

  1. Plan- Decide very carefully the quality standards of your business.
  2. Do- Work as per the quality standards
  3. Check- Follow up, Monitor, Measure, Analyse & Evaluate everything in your daily operations
  4. Act- Corrective actions for improvement non-conformity as per the Quality Policy

After this discussion, the question comes that how many businesses are aware about the result oriented BENEFITS of ISO 9001-2015?. Some key benefits are as follows:

  1. Easily applicable and suitable for all types of businesses
  2. Efficiency creation in internal management.
  3. Cost control by reducing wastage.
  4. Increase customers, create brand in domestic and international market, customers satisfaction.
  5. The worldwide recognized certification
  6. Increase business productivity and profits in sustainable manner.
  7. Motivation to employee of business.

In today’s market, ISO has vital significance for every type of business. By adopting ISO standards, the owners and employees in business get the best understanding about their own activities. The principle of “know your business” is applied effectively by using ISO 9001-2015. In this way such a certification is beneficial in both ways i.e external and internal.
